Eligibility
Open to journalists working in Alabama, Arkansas, Florida, Georgia, Kentucky, Louisiana, Mississippi, North Carolina, South Carolina, Tennessee and West Virginia. All entries MUST have been published or broadcast between Jan. 1 and Dec. 31, 2008.

Judging
— Judges will reject entries that do not comply with entry rules.
— Judging criteria include but are not limited to excellence, service to the community and contribution to the public’s understanding of issues and events.
— Judges reserve the right to withhold awards if no entry meets the judging standards.
Professionals outside the eligibility area do the judging.

Additional Requirements
— Corrections must be sent with entries. If judges or Green Eyeshade Awards administrators learn that a correction was not included, the entry will be disqualified.
— Some categories have other specific entry requirements. Read everything carefully.
— All entries become the property of Green Eyeshade Awards — SPJ Inc.
— Entries will not be returned.

Entries must be postmarked by Feb. 18, 2009.

Fees
Members: $40 per entry
Non-Members: $55 per entry

To qualify for the member fee, you must supply your SPJ member ID number in the space provided on the entry form.
— Only one member of team entries need be a member to qualify for the reduced fee.
— SPJ does not have an institutional membership category. The entrant, not contact person, must be a member to receive the member fee.
— Entry fees must be paid by check or money order payable to Green Eyeshade Awards — SPJ.
— Sorry, no credit cards.
— A single check can be used for multiple entries, but be sure to attach a photocopy of the check to each entry’s entry form.
— No fees will be refunded.

General Entry Requirements
— An entry may be submitted in only one category, except where noted.
— An individual may submit no more than two entries in the same category.
— Cover letters are optional except where noted. If you decide you need one, limit to one page. A cover letter might include information about impact or community reaction. It should not try to “sell” the story to the judges.
— Submit one copy of entry and two copies of the entry form. One copy of entry form must be attached to the entry. The second copy of the entry form must be attached to a COPY of your entry-fee check.

Print Entry Requirements
— Original tear sheets are preferred, but clear photocopies are acceptable. Folded tear sheets or photocopies can be submitted in an 8½ x11 manila folder or secured inside a simple pressboard report cover/binder no larger than 8½ x 14 inches.
— Entry should be clearly labeled with the category entered and name of entry and entrant.
— Secure a copy of a completed entry form with the entry inside the folder or report cover/binder.
— In categories that allow a series to be entered as a single entry, stories in a series must be related. A series must have been labeled as such when published.
— When applicable, the Green Eyeshade Awards reserves the right to combine large daily and small daily entries for judging if fewer than 5 entries are received in any category.
— Entries must be legible or will be disqualified.
— For all photography categories: Submit entry on a CD-ROM that includes a titled folder that contains all of the images saved as good quality JPEG files with maximum dimension of 2750 pixels. Captions must be included for every photograph in the file information area and as a separate text document on the CD. Entrant may, but is not required to, submit supporting items, such as PDFs, related Web links or tear sheets.

Electronic Media Requirements
— Submit TV and radio entries on CD or DVD.

Television: All entries must be accompanied by a printed copy of a screen grab on 8½ x11-inch paper and a brief written description of the entry. A copy of a completed entry form must be attached to the printed material accompanying your entry.
— Enclose entry in a manila envelope no larger than 8½ x 14 inches and clearly labeled with the category entered and name of entry and entrant.
— When applicable, the Green Eyeshade Awards reserves the right to combine large market and small market entries for judging if fewer than 5 entries are received in any category.

Radio: All entries must be accompanied by a brief written description of the entry on one sheet 8½ x 11 paper. A copy of a completed entry form must be attached to the printed material accompanying your entry.
— Enclose entry in a manila envelope no larger than 8½ x 14 inches and clearly labeled with the category entered and name of entry and entrant.

Online: Entries must include an active URL in the space provided on the entry form. Nominated sites must remain intact and accessible until the winners are announced.
— Web sites affiliated with print or broadcast organizations must attach a letter (preferably one page) to the entry form explaining how the entry differed from or enhanced the print or broadcast coverage. Entrant must show that the site did more than repurpose content.
— Non-affiliated Web sites should provide a one-page letter describing the entry’s journalistic role in its community.
— NOTE: Affiliated online publications are those owned by or partnered with media organizations whose primary outlets are not based on the Web, such as broadcast stations, newspapers or magazines. Independent online publications are stand-alone sites not owned or partnered with print or broadcast media organizations.
— When applicable, the Green Eyeshade Awards reserves the right to combine affiliated and independent entries for judging if fewer than 5 entries are received in any category.
