Employment Opportunities with SPJ
Events Coordinator

The Society of Professional Journalists is the nation’s largest and most broad-based membership association for journalists. We are dedicated to the preservation of a free press as the cornerstone of our nation and our liberty. To accomplish this, SPJ hires smart, energetic individuals who are hell-bent on improving the Society’s offerings and operations while also making a name for themselves. After training, we get out of the way and give them the freedom to do just that.

The Events Coordinator position is a full-time gig, based in Indianapolis. It includes competitive salary, excellent benefits and paid leave.

This person will eventually serve as the primary planner for all SPJ-managed programs and events. These programs primarily include: SPJ’s national convention; day-long professional development programs; board meetings; and programs and events of SPJ clients.

What we’re looking for:

— Someone who is so organized, they know the birthdays and anniversaries of all their relatives.
— Someone who doesn’t let details fall through the cracks, but still has the ability to see the big picture.
— Someone who can jump from task to task with cat-like nimbleness.
— Someone who isn’t an ass and gets along with just about anyone.
— Someone who asks a lot of questions, but knows when to shut up and get to work.
— Someone who cares deeply about the quality of their work.
— Someone who reads this detailed description from top to bottom.

Primary duties will include:

— Plan and execute SPJ events as well as SPJ client events.
— Prepare and maintain a yearly schedule of all events and programs, including development of program-specific timelines.
— Prepare and monitor event budgets to ensure that each program remains within budget. Review all bills and expenditures. Code each properly for financial records.
— Ensure that each event remains on schedule and each staff member and/or volunteer is aware of his/her responsibilities and deadlines.
— Solicit and coordinate RFPs for all site logistics including hotel sites, catering, transportation and entertainment venues.
— Oversee proper filing of contracts, planning guidelines and timelines.
— Manage onsite logistics of events.
